When buying a new computer for personal use or for business, it’s essential to consider specifications that match your needs and budget. As stated in our previous post, we recommend hiring an IT or cybersecurity firm to assist with massive infrastructure overhauls, but we are committed to educating leaders on as many IT topics as possible. After all, knowledge is power. In this case however, knowledge might just be overwhelming.
*NOTE* In addition to the technical considerations listed below, leaders must take into account “people considerations.” These include things such as:
1. How often do your various employees break their computers? Leave the device on an airplane or at a conference? Spill coffee or Red Bull on the keyboard? Run over the device with their car (sadly, this one is not a hypothetical situation… we’ve seen it)?
2. Are your various employees conducting different activities for your business? While Employee A may be creating hundreds of 3D renderings, Employee B may only be using their device to run accounting software and email.
Here’s a breakdown of key specs to look at when looking at computer options and what they mean:
1. Processor (CPU)
- What it is: The CPU (Central Processing Unit) is the “brain” of the computer, handling most of the processing tasks.
- Key Considerations:
- Clock Speed: Measured in GHz, higher clock speeds typically mean faster performance (e.g., 3.5 GHz is faster than 2.5 GHz).
- Cores and Threads: More cores and threads (e.g., quad-core, octa-core) allow for better multitasking and handling of demanding applications.
- Popular Options: Intel Core i5, i7, i9 or AMD Ryzen 5, 7, 9.
- Who Needs It?
- Basic use, business software: Intel Core i5 or AMD Ryzen 5.
- CAD, video editing, programming, individuals with 50 tabs and 20 programs open at all times: Intel Core i7/i9 or AMD Ryzen 7/9.
2. Memory (RAM)
- What it is: RAM (Random Access Memory) temporarily stores data that the CPU needs quick access to. More RAM means better multitasking. We know you have some employees who could use more RAM 😉
- Recommended Amounts:
- General Use and General Business: 16 GB is the sweet spot for most users.
- Professional Use (Video editing, 3D rendering): 32 GB or more may be needed.
3. Storage (HDD vs. SSD)
- What it is: Storage holds all your files, applications, and the operating system.
- Types of Storage:
- SSD (Solid State Drive): Faster and more reliable than traditional HDDs. Ideal for faster boot times and quick file access.
- HDD (Hard Disk Drive): Cheaper but slower. Suitable for large storage needs when speed isn’t a priority.
- Recommended Storage:
- General Users (daily business tasks): 256 GB to 1TB depending upon business needs/software utilization.
- Heavy Users (CAD, content creators, industries with strict retention policies): 1 TB or more (consider a combination of SSD for the OS and HDD for large files).
4. Graphics Card (GPU)
- What it is: The GPU (Graphics Processing Unit) handles rendering images, videos, and animations.
- Integrated vs. Dedicated:
- Integrated Graphics: Built into the CPU, sufficient for everyday tasks and light gaming (e.g., Intel UHD, AMD Radeon Vega).
- Dedicated Graphics Card: Separate from the CPU, offering better performance for gaming, video editing, and 3D work (e.g., NVIDIA GeForce RTX, AMD Radeon RX).
- Who Needs It?
- Basic Use: Integrated graphics are fine for web browsing and office tasks.
- Gaming and Design: A dedicated GPU like NVIDIA GeForce GTX/RTX or AMD Radeon RX is recommended.
5. Display and Resolution (for laptops)
- Size and Resolution:
- 15.6-inch with Full HD (1920×1080): Good for general use.
- 17-inch with 4K (3840×2160): Ideal for content creators and gamers who want high detail.
- Touch Screen vs. Non-Touch-Screen: Personal preference. It is hilarious to watch individuals who are used to a touch screen constantly poke at their screens out of habit only to remember their new device is not touch screen enabled. If your choose touch screens for your employees, invest in appropriate screens cleaners before someone sprays it with Windex.
6. Ports and Connectivity
- USB Ports: USB 3.0 or USB-C for faster data transfer. USB-C is versatile and can also handle power delivery and video output.
- HDMI/DisplayPort: Needed for connecting to external monitors or projectors.
- Ethernet Port: Essential for wired internet connections, especially in business settings.
- Wi-Fi and Bluetooth: Look for Wi-Fi 6 or Wi-Fi 6E for faster wireless internet, and Bluetooth 5.0 or higher for better connectivity with peripherals.
7. Battery Life (For Laptops)
- Who Needs It?
- Basic Users: 10-12 hours is typically sufficient for everyday use.
- Business and Remote Workers: Look for laptops with 12+ hours of battery life for all-day productivity. Also a good option for that employee that never charges their device. Though this could be viewed as “enabling” bad behavior.
- Consider Fast Charging: Some laptops offer quick charging capabilities, providing a 50% charge in 30 minutes.
8. Operating System (OS)
- Windows: Versatile and compatible with most software applications. Best for gaming, business, and general use.
- macOS: Known for its smooth integration with Apple products, popular in creative industries.
9. Build Quality and Design
- Durability: For business or travel use, consider a rugged design or laptops with military-grade durability (MIL-STD-810G).
- Weight and Portability: Ultrabooks are lightweight and slim, making them great for mobility, while desktop replacements are bulkier but more powerful.
10. Warranty and Support Options
- Standard Warranty: Typically 1 to 3-year, but consider extended warranties for business-critical devices.
- Customer Support: Choose reputable brands known for reliable customer service, especially if the computer is essential for your work.
- Managed Services Providers: Businesses employ companies to offer ongoing helpdesk support to address a wide variety of device issues.
